Data security and data management

Use of personal data for the administrative purposes of this learning platform

We use your address data and with your consent your telephone number and e-mail address only for organisational questions about this learning platform. If it becomes apparent during a data collection that data is not absolutely necessary (such as the address), the specification of this data is voluntary.

We assure you that we will not sell, rent or lend your information to any other organisation or offer address trading in general. If we need the help of a service provider for the security of our IT infrastructure, we will of course make a special agreement to protect your data with this service provider. The service provider may process data in this case only for the agreed purpose.

The security of our IT systems is very important to us. Therefore, we operate this learning platform on a dedicated server and have concluded a separate data protection agreement with the service provider.

Online services

Collection of general information during page views:

When you visit our website, certain information is collected automatically. This includes:

  • IP address of the requesting computer

  • URL and name of the retrieved page

  • Date and time (minute, second) of the call

  • Amount of data incurred

  • Status of access (successfully transferred, page not found, etc.)

  • Information about the operating system and the version of the browser of the requesting computer

  • Website from which the access was made

  • Browser fingerprint

This information is necessary for technical reasons to enable us to provide you with the website content requested. It is collected automatically when you use the internet.

While none of this information can be used to identify you, it does provide details of your connection at the time you visited our website. We do not perform any statistical analyses on this kind of information. The information is stored in system log files, which are deleted periodically. Our internal administrators can access this data for debugging purposes. The legal basis for the temporary storage of data and the log files is Art. 6 (1) f) GDPR. No further analyses are performed on the data.

BigBlueButton

We use the BigBlueButton web conferencing application to transmit and/or record video/audio conferences. When you participate in a video/audio conference, your video, audio and text data (e.g. chat logs) will be transmitted and, in case of a recording, saved at the end of the conference. The following metadata is moreover transmitted for technical implementation of your conference participation:

  • username

  • moderator rights (yes/no)

  • frequency of participation via chat, audio, emojis, hand raises, and in polls

  • speaking and attendance times, including login and logout times

The recording status is indicated in the web conferencing tool interface. It is up to you to switch off your camera/microphone.

The video/audio conference recordings are sometimes saved after the event has ended and used for documentation and/or learning purposes. For example, recordings of events held at the Academy for Conflict Transformation are sometimes made available to participants after their course has ended. Recordings are not made publicly available; they can only be accessed with a user account and personalised password. forumZFD manages the user accounts.

Video/audio conferences are recorded exclusively by the organiser. No recording by participants or passing on of access data is permitted.

Miro

We use the Miro whiteboard application for some of our online events. Miro is operated by RealtimeBoard Inc. dba Miro, 201 Spear Street, Suite 1100, San Francisco, CA 94105, USA. When you access a Miro whiteboard, a connection is made to Miro’s servers and the data centre used by Miro (AWS.amazon.com). Please note that if you log into Miro using a third-party account (e.g. a Google or Facebook account), Miro will receive additional personal information about you.

forumZFD has a customer account with Miro. This allows the responsible employees and/or external contractors involved in event organisation to view your username and email address.

If you want to use Miro, you must create a user account first. You can decide in your personal settings which data you wish to share with other users. You can restrict access to your whiteboards and make changes to shared whiteboards in an anonymous mode. If you do not want to use Miro, this is not a criterion for exclusion from the event. In this case, please contact the event organiser.

Cookies

Like many other websites, we also use so-called cookies. These are small text files that are transferred from a server to your hard disk and stored there. They cannot be used technically to transmit malicious software.

We receive certain data through cookies, such as the browser used and the operating system. Based on this information, we can facilitate the navigation and enable the correct display of our web pages.

In no case will this data be disclosed to third parties or linked to personal data.

Analysis tools like Google Analytics or Matomo

We do not use analytics tools like Google Analytics or Matomo.

SSL encryption

In order to safeguard the security of your data during transmission, we use state-of-the-art encryption methods (here: SSL over HTTPS). A request sent to the server unencrypted is automatically redirected to an encrypted channel.

Contact function

Ilias learning platform allows you to contact other event participants as well as the event organiser. The system processes the data from your user account for this purpose. Other participants will not have access to your account information, unless you make this available in your settings. You can set which personal data you want to share with the other users in your user account.

Embedded YouTube videos

On some of our websites, we embed videos that we deposit on YouTube. The operator of the plug-ins is YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA. When you visit a page with the YouTube plug-in, it will connect to YouTube’s servers. YouTube will be notified which pages you are currently visiting. If you are logged into your YouTube account, YouTube can assign your surfing behaviour to you personally. You can prevent this by logging out of your YouTube account or surfing in a private window.

When starting a YouTube video, the provider uses cookies that collect information about user behaviour. To prevent this, you can prevent the storage of cookies in your browser.

Social Plugins

We do not use any social plugins from the social network facebook.com or from Google.

Your rights

Deletion and/or blocking of data

We adhere to the principles of data avoidance and data economy. We store your personal data only as long as required by the legislature of various storage periods or as this is necessary to achieve the purposes mentioned here. After discontinuation of the respective purpose or expiration of these deadlines, the corresponding data are routinely and according to the legal regulations blocked or deleted.

We point out that you have the right to receive information about your personal data stored by us at any time. You also have the right of blocking, except for the prescribed data storage for business transactions, and deletion of your personal data. Please contact our data protection officer Hannah Sanders at

For a data lock to be taken into account at all times, these data must be stored in a lock file for control purposes. You can also request the deletion of the data, as long as there is no legal archiving obligation. As far as such an obligation exists, we lock your data on request.

You can make changes or revoke your consent by notifying us with effect for the future.

Change of our privacy policy

Future developments or legislation may necessitate an adaptation of this declaration. We always post changes here and recommend an occasional visit to this site.
